Show planning & venue booking

Plan live shows and tours — day sheet, setlist, crew, booking inquiries, and venue lookup — from idea to confirmed event.

What it is

Show planning lets you run a live event from first idea to load-out. Create an event (a single show) or a tour (a named run of shows). Each event has its own day sheet (run-of-show timeline), setlist, and crew roster. Your confirmed shows appear on your public artist profile so fans can find them.

Artists can also opt in to a booking inquiry form on their profile. Promoters and venue bookers fill in the form and you handle the lead from your team's inbox — no email address exposed.

Using it

Create a show

  1. Go to your team's Events page and click New event.
  2. Fill in the date, venue, city/country. You can search for a venue by name using the venue picker (powered by Google Places when enabled, or plain text otherwise).
  3. Save. The event lands in your event list.

Build the day sheet

Open an event and go to the Day sheet tab. Add items like "Load in", "Soundcheck", "Doors", "Set", "Load out" with start and end times. The day sheet is rebuilt from scratch every time you save, so reorder freely.

Add the setlist

Go to the Setlist tab. Add tracks from your team's library in the order you plan to play them. Setlists reuse the playlist machinery — each item links to an existing track or can be a free-form title.

Assign crew

Go to the Crew tab. Assign roles (sound engineer, lighting, tour manager, etc.) to team members or invite someone by email. Tour-wide crew assignments fan out across all events in the tour at the moment you save.

Plan a tour

From your team's Tours page, click New tour. Give the tour a name and date range. Each tour has its own page listing all its events; create events directly inside it or attach existing ones.

Manage booking inquiries

  1. Go to Events → Inquiries to see all inbound booking requests.
  2. Review the details (venue, proposed date, fee, message).
  3. Triage an inquiry: mark it as replied, declined, or spam; add internal notes.
  4. To accept: click Convert to event — Aden creates an event and a confirmed booking for your team, then links the inquiry so you can trace the origin.

Enable the booking form on your profile

In your team settings, turn on Accept booking inquiries and optionally add a short blurb that appears above the form. Only teams on the pro plan or above can use this feature; the form is hidden for lower plans.
