Legal, IP & compliance documents

Versioned platform legal documents (terms of service, privacy policy, letter of intent), EUIPO trademark search, and identity document (KYC) submission — covering both Aden's own legal compliance and tools artists use to protect their IP.

What it is

Aden provides a set of legal tools that serve two distinct purposes:

  1. Platform compliance — Aden's own terms of service and privacy policy are versioned documents that users must accept before using the platform. When Aden publishes a new version, users are prompted to review and accept it again.

  2. Artist IP tools — Artists and their managers can search the EUIPO trademark register to check whether a name, logo, or brand is already registered in Europe, and can submit identity documents (a passport or national ID) for account verification (KYC).

The letter of intent is an Aden-managed document that organisations or managers may be asked to sign as part of onboarding — it follows the same versioned draft/publish lifecycle as the terms of service.

Using it

Accepting the terms of service

When you first sign up, or when Aden publishes a new version of its terms, you will land on the accept terms page (/accept-terms). Read the document and click Accept to continue. You can view all past versions at /terms.

From your account, open the trademark search tool and type the name or phrase you want to check. Results come directly from the EUIPO (European Union Intellectual Property Office) register and show existing registrations that may conflict with your brand.

Submitting identity documents (KYC)

Go to Account → Identity verification in your account settings. You will need:

  • Multi-factor authentication (MFA) enabled and verified for your session — the upload is blocked without it.
  • A photo of either your national ID (front and back) or your passport (front only).

You can upload photos directly in the browser, use your webcam, or — if you are on desktop — scan a QR code to continue the upload on your phone. The phone link expires after 15 minutes and can only be used once.

Once submitted, your documents are reviewed by the Aden team and your status moves from pending to verified (or rejected with feedback).

Viewing the privacy policy

The current privacy policy is always available at /legal/privacy. If you are viewing an artist's public website powered by Aden, their privacy page is at /profile/[team]/website/privacy.
