License CRM
Teams and their organisations record and track music licenses issued to external parties, licensee, license type, territories, term, fee, and the signed agreement, with two-way visibility between the artist team and its linked orgs, cross-notifications, and automatic expiry reminders.
What it is
When someone licenses your music. A filmmaker syncs a track, a brand uses it in an ad, a publisher sub-licenses a territory, that agreement needs a home. The License CRM records every license issued on your catalog: who the licensee is, which track or album, what kind of license (licensing, sync, other), in which territories, for how long (or perpetual), for what fee, and the signed agreement document itself.
Licenses are shared between the two sides that manage a catalog:
- Artist teams manage a work's licenses on the work itself, Track → Licensing and Album → Licensing. The tracks list shows each track's licensing state as a badge and a Licensing column, and its filter has a Licensing facet (no licenses, draft, negotiating, active, expiring soon, expired, terminated, exclusive) for catalog-wide questions.
- Organisations (publishers, sync agencies, labels) linked to the team see and manage the same licenses across every team at Organisation → Licensing.
If your organisation records a license and uploads the contract, the team knows what's up with it, and vice versa. Rows created by the other side are badged ("Added by your organisation" / "Added by the team"), and both sides can edit, change status, upload the agreement, and add notes.
What a license records
- Licensee: name, company, email, optionally linked to a contact.
- Subject: one track or one album.
- License type: licensing, sync, or other.
- Territories: worldwide, only-these, or worldwide-except, using the same territory picker as Rights & deals.
- Term: start/end dates or perpetual; exclusive flag.
- Fee: one-time license fee with currency.
- Licensed use: free-text description of what the licensee may do.
- Agreement: the signed contract uploaded as a document.
- Status: draft → negotiating → active → expired/terminated.
- Activity log: notes plus automatic entries for status changes and document uploads.
Staying on top of expiry
Licenses with an end date get automatic reminders to both the team and its organisations 30, 7, and 1 day(s) before expiry, and past-due licenses flip to expired automatically.
Organisation leads
An organisation's or a team's own sales pipeline, festivals, brands, venues and partners they are chasing, running on the same `leads` table AND the same board, table and record sheet as Aden's internal pipeline, parameterized by scope. Socials and a first contact are captured on the create form.
Sync portal
A kind-aware pipeline for sync licensing opportunities (film, TV, ads, trailers, games) and A&R briefs (a label looking for songs to cut): run by an organisation across its roster, or by an artist team on its own catalogue, on the same kanban board. Stages from first contact to placement with per-kind wording, brief criteria (genres, BPM range, reference), pitched tracks, an activity log and the money booked per deal. Also works with artists, tracks and counterparty companies that aren't on Aden yet, as a conversion funnel to onboard them.
