Venues & rooms

What it is

A venue on Aden is a club, hall or arena run by an organisation. One organisation can own many venues (a club group, a promoter with several rooms), and each venue can contain rooms: separate spaces with their own capacity, like a main room and a smaller club room.

Venues are where the live side of Aden comes together:

• Programming: every show linked to the venue, upcoming and past, with the lineup and how much of it is confirmed.
• Holds: dates claimed while an offer is being negotiated, ranked so first hold gets first refusal. A hold is a prospect on this venue, so it carries the whole prospecting pipeline: an activity log, follow-up dates, a linked promoter contact, and AI-drafted outreach. Share it and the same row becomes a real show with the artist invited.
• Residencies: a run of dates by the same artist at the same venue, grouped as one tour that the organisation owns.
• Requests to play: an optional public form where artists and agents pitch themselves to the venue. The mirror image of the artist's own "book me" form.

Using it

Adding a venue and its rooms

1. Open Venues in your organisation sidebar and click Add venue.
2. Fill in the name, address, capacity and an optional link to your public agenda. The address autocompletes, and the venue appears on the public Discover map.
3. To add a room, open the venue's menu and pick Add a room: or create a venue and set Room inside to its parent. Rooms are one level deep.

Linking a show to a venue

When you host an event (Events → Host an event), pick the venue in the Venue field. The show's name, address, city and country are filled in from the venue, and the show appears on that venue's Programming tab. Pick Somewhere else for venues that aren't on Aden. The typed venue name still works exactly as before.

Holding a date

1. Open a venue and go to Holds. This is your prospecting pipeline filtered to that venue and its rooms.
2. Click New prospect and set the date. Pick the artist if they're on Aden, or leave it empty and put their name in the title if they aren't.
3. Set the hold rank: 1 is first refusal, 2 is next in line.
4. Work it like any prospect: log calls and emails, set a follow-up date, link the promoter contact, draft outreach.
5. When the offer is agreed, Share it. The same row flips to a public show and the artist gets a booking invite they accept from their own gigs list.

Holds are internal. Nothing reaches the artist until you share.

Running a residency

Open Tours in your organisation sidebar and click New tour. Set Residency at to one of your venues and every date in that run belongs to that venue. Leave it as Somewhere else for a touring run across multiple venues. Organisation-owned tours never appear in an artist's own tour list artists only see the individual shows they're booked on.

Taking requests to play

Turn on Take requests to play when editing a venue and add a line about what you want to receive. Your venue then has a public page where artists and agents can send a date, links to their music and a short pitch. Requests land on the venue's Requests tab where you can mark them replied, declined or spam.
