Availability & travel

Busy and travel windows per user, sharing rules, the org "who's free" grid, room double-booking checks, and travel heads-up notifications.

What it is

Tell Aden when you're busy or travelling, once, and everyone who plans with you sees it: session organisers, your organisations' writers directory, and the chat assistant.

Using it

  • Add busy or travel windows under Account → Availability (travel windows carry a city so people know where you'll be). Windows can repeat.
  • Link a personal calendar (Google, Outlook, or any iCal URL) and its events count as busy time automatically. Event titles are never shown to others, only "busy".
  • One event getting in the way but you're still free? Mark it available on the account page and it stops counting as busy, without unlinking the calendar. It stays in the list under "marked available" so you can put it back.
  • Control who sees your windows with sharing rules: public, all or specific organisations, all or specific teams, or nobody.
  • Or just tell the chat assistant: "I'm in Amsterdam from April 2 to May 5" records a travel window; "who is free on Wednesday?" reads your team's availability back.
  • When you set a travel window, collaborators from your teams and organisations who are currently in that city get a heads-up notification so you can line something up.
