Issue employment documents

Make proof-of-employment letters, offer letters and agreements in seconds, always dated today, and get them signed.

Banks, landlords, visa offices and app stores often ask for proof of where someone works, on letterhead, signed and recent. Record who works for you once, then download the letter whenever it's needed. It's written the moment you open it, so it's always dated today.

Three documents come from one record:

  • Employment verification letter: the role, employer and start date. The one most people ask for.
  • Offer letter: the role, start date and terms on offer.
  • Employment agreement: the full terms, for both sides to sign.

Add someone

  1. Open Members in your business or team.
  2. Choose Employment on the person's row.
  3. Fill in their full legal name as it appears on their ID, their job title and start date. The rest is optional.

Their address, nationality and ID number come from their Aden account. Type over a field only when this document must say something different.

Issue a document

Click Open PDF on a document. Download all gives one PDF with all three. Reissue as often as you like.

  • Language: pick it per record. The whole document follows, not a translation stapled on.
  • Salary and personal details are off by default, because letters get forwarded. Turn them on only when asked.
  • Founders: record shares and directorships, and the letter states them the way a company register does.

Get it signed

  1. Click Send for signing.
  2. Under signed by, add everyone who signs for the employer, like two directors. Add nobody and you sign.
  3. Each signer gets their own link. Next to each name: sign now if it's you, copy the link, or email it.

On an offer letter or an agreement, the employee counter-signs too. Owners and admins can use Sign for them to apply a signature the person already saved to their Aden profile. The certificate records who applied it. On the signing page, Sign on phone lets you sign with your finger through a QR code.

Let them check it

Every document carries a verification link that confirms the employer, title, type and dates, never the salary, address or email. Turn it off per record if you'd rather.

When someone leaves

Set an end date and switch the status to ended: old letters stay valid and new ones say "was employed until". Revoked stops new documents altogether.
